Fernie Crew is operated by Emerald Standard Consulting Ltd ("we", "us"), a company incorporated in British Columbia, Canada. This policy explains what personal information we collect through the Fernie Crew website and mobile app (the "Service"), how we use and share it, and your choices. We handle personal information under Canada's PIPEDA and British Columbia's Personal Information Protection Act (PIPA).
Who the Service is for. Fernie Crew connects job seekers with employers in Fernie, BC. It is not directed to children; you must be at least 16 to create a seeker account and 18 to be placed in or review a job.
1. Information we collect
- Account: name, email address, and password (passwords are handled by our authentication provider and are never stored by us in readable form).
- Seeker profile: headline, location/region, phone (optional), bio, and profile photo.
- Work-eligibility documents you upload (e.g. work permits, visas, certifications). These are stored privately; employers only ever see a status, never the files.
- Portfolio & photos you add, and references (referee name, relationship, and — only with the referee's explicit consent — their statement). Referee email/phone are never shared with employers.
- Availability, applications, cover notes, and messages you exchange with employers.
- Employer account data: company name, logo, description, locations, contact details, and the postings and applicant decisions you make.
- Device & usage: app version, device type, and diagnostic/log data; and, if you enable push notifications, a push token.
- Training and induction records: when an employer assigns you an induction, we record which modules you completed and when, your quiz scores, and the attestation you sign (with a timestamp and IP). These are your record too — you keep access to your certificate even after the job ends; the employer keeps the orientation record as an OHS/business record.
- Claim & verification data: when you accept a claim for a business page, or submit a request to claim one, we record your IP address and browser/user-agent at that moment as proof of the authorisation you gave (kept only as long as needed — see Retention).
- Pages we set up for businesses: we build employer pages from information the business has published (name, address, website, public job ads) and hold the hiring contact's name, email and phone we obtained from the business or its public listings, so we can offer the page to that business. You can ask us to remove a page at any time at [email protected].
2. How we use it
To provide and operate the Service; match seekers and employers; share your profile with an employer when you apply to their role; send transactional notifications; maintain safety, prevent fraud, and enforce our terms; and meet legal obligations.
We may contact a business to offer the page we set up for it. If you unsubscribe or ask us to stop, we record that request in a suppression list so we don't contact that address again — the suppression itself is the only thing we keep from it.
3. AI-assisted processing
Some information you provide may be processed with the help of artificial-intelligence tools — for example to help match seekers with suitable roles, summarize profiles or applications for our vetting team, extract details from documents you upload, and assist with support and operations. AI tools act on our instructions as part of providing the Service; we do not use your personal information to train third-party AI models, and no decision with a significant effect on you (such as verification or removal) is made by an automated system alone — a person is always responsible for those decisions. The protections in section 4 apply equally to any AI-assisted processing: your references require referee consent and your private personal details are never disclosed to employers, by a person or a machine. You can ask us about, or object to, AI-assisted handling of your information via the contact details below.
4. What employers see when you apply
When you apply to a job, your Fernie Crew profile — your name, headline, location, contact details, photo, bio, work-eligibility status (status only, never your documents), past work, and availability — is shared with that employer so they can consider your application. Two things are always protected regardless: your references are shown to an employer only after each referee consents via a one-time link, and your private personal details (date of birth, home address, postal code) are never shown to employers — they are used only to pre-fill your new-hire paperwork if you are hired.
5. How we share information
We do not sell personal information. We share it only: (a) with employers, strictly per your per-application sharing choices; (b) with service providers who process data on our behalf under contract — hosting and database (Cloudflare, Neon), authentication (Neon Auth / Better Auth), transactional email (Resend), and push delivery (Expo, Apple APNs, Google FCM); and (c) where required by law or to protect rights and safety.
6. Where data is processed
Data is processed in Canada and the United States via the providers above. Where information crosses borders it remains subject to this policy and applicable law.
7. Retention & deletion
We keep personal information only as long as needed to provide the Service or meet legal requirements. You can delete your account and data at any time — in the app (Settings → Delete my account) or via ferniecrew.com/delete-account. Deletion is a hard erasure of your account, profile, uploads, applications, and messages (an employer account's company and its postings are removed too). We may retain a minimal record where the law requires.
8. Security
Data is encrypted in transit (HTTPS). Uploaded documents and reference letters are stored in private storage reachable only through authenticated, permission-checked requests. No system is perfectly secure, but we work to protect your information.
9. Your rights
You may access, correct, or delete your information and withdraw consent (including references) at any time. To exercise these rights, use the in-app controls or contact us below.

We will post any changes here and update the effective date.
